Privacy Policy
How we collect, use and protect your personal information when you enquire about or book a private day with Expedition Yorkshire.
Who we are
Expedition Yorkshire Ltd is a private, driver-guided tour company based in York, North Yorkshire, and is the data controller for the personal information described in this policy. You can reach us at andrew@expeditionyorkshire.com or on 01904 235928.
The information we collect
When you send an enquiry through this website, we collect the details you provide: your name, email address, preferred dates, group size, the tour or transfer you are interested in, and your message. If you go on to book, we collect the information needed to arrange and deliver your journey, including booking and payment details handled through our booking provider. We only ask for what we need, and providing this information is your choice — though we cannot respond to an enquiry or arrange a booking without it.
How we use your information, and our lawful basis
We use your information to respond to your enquiry, prepare quotes and itineraries, arrange and deliver your tour or transfer, take payment, and keep in touch about your booking. Our lawful bases under UK GDPR are performance of a contract, our legitimate interests in responding to enquiries and running our business, and, where required, your consent. We do not sell your personal information and we do not use it for automated decision-making.
Who we share it with
We share your information only with the service providers that help us run the business, acting on our instructions: our CRM and enquiry-handling platform (Go High Level / HighLevel), our online booking provider (Bókun), our website host (Cloudflare) and our email provider (Google Workspace). We may also disclose information where we are required to by law. We do not share your details with third parties for their own marketing.
Cookies
This website uses only the cookies needed for it to work and, where you use the online booking widget, cookies set by our booking provider (Bókun) to enable that booking. We do not currently run advertising or third-party analytics cookies. You can control or delete cookies through your browser settings at any time; doing so may affect the booking widget.
How long we keep it
We keep enquiry information for as long as needed to deal with your enquiry and for a reasonable period afterwards in case you get back in touch. Booking and financial records are kept for as long as required to meet our legal and accounting obligations, then securely deleted.
Your rights
Under UK data protection law you have the right to access the personal information we hold about you, to have it corrected or deleted, to restrict or object to how we use it, and to receive a copy in a portable format. To exercise any of these rights, contact us at andrew@expeditionyorkshire.com. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk, though we would appreciate the chance to put things right first.
Changes to this policy
We may update this policy from time to time. Any changes will be posted on this page with a revised “last updated” date.
